The Wait In Line feature in BotX POS gives restaurants a simple way to manage guest waitlists and improve the customer experience. Whether staff enter guests manually or customers add themselves via QR code, this tool streamlines front-of-house operations, supports order-ahead functionality, and keeps guests informed with automated SMS notifications.
Wait In Line is a built-in waitlist system that allows you to:
Create and manage a live customer waitlist
Let customers scan a QR code to add themselves
Manually add waiting parties
Send SMS updates when a table is ready
Allow guests to order ahead while they wait
To let guests add themselves to the waitlist:
On the BotX POS iPad, go to:
Store Home Screen → Wait In Line → Waiting Line Info
A screen will appear showing your restaurant’s QR code.
Take a screenshot of the QR code.
Print and post it somewhere visible—such as your host stand or entrance—so guests can scan it easily.
When a customer scans the QR code:
They’ll enter their name, phone number, and party size.
Their information will appear in the left column of the Wait In Line screen for staff to confirm.
If a customer prefers not to use the QR code:
Go to the Wait In Line screen.
Tap Enter New Waiting Info.
Fill in:
Customer Name
Phone Number
Number of Guests
Tap OK to add them to the list.
Their name will now appear on the active waitlist.
Once entries are added:
All waiting customers will appear on the Wait In Line screen.
Use the top bar filters to sort guests by party size to help plan table assignments.
You can send two types of text messages directly from the waitlist:
Tap Order Ahead next to the customer’s name.
This sends a text with a link allowing the customer to start placing their order while waiting.
Once a table is ready, tap Table Ready.
This sends an SMS to let the customer know they can be seated.
This will also start a timer to track how long the table has been ready. This allows you to keep an eye on how long the table has been available, so you can better manage your time and ensure the table is used efficiently.
If the customer uses the Order Ahead link to place an order:
A bell icon will appear in the bottom corner of your iPad to alert staff.
Go to the Orders tab.
Tap the new order and confirm the order details verbally with the customer when they arrive.
Once confirmed, select the table where they’ll be seated.
The order will be routed to the kitchen like any other confirmed order and the customer will be cleared from the waitlist.
If a customer is a no-show or did not use the Order Ahead function, you can clear them from the wait list. To do this, locate the customer's entry on the wait list and click the "Close" button. A confirmation prompt will appear - click "OK" to officially remove the customer from the wait list.
Place the QR code at the entrance or host stand to encourage customer self check-in.
Use the Order Ahead feature to reduce wait time and improve kitchen flow.
Always confirm orders before seating to ensure accuracy.
